PROJECTS ASSISTANT - JOB VACANCY

THE INTERNATIONAL ASTRONAUTICAL FEDERATION

Founded in 1951, the International Astronautical Federation is the world’s leading space advocacy body with 604 members in 82 countries, including all leading space agencies, companies, research institutions, universities, societies, associations, institutes and museums worldwide. Following its motto “Connecting @ll Space People” and its theme “A space-faring world cooperating for the benefit of humanity”, the Federation advances knowledge about space, supporting the development and application of space assets by promoting global cooperation. As organizer of the annual International Astronautical Congress (IAC) – world’s premier global space event – and other thematic events, the IAF actively encourages the development of astronautics for peaceful purposes and supports the dissemination of scientific and technical information related to space. The IAF Secretariat is based in Paris, France, and is responsible for the coordination of the IAF activities. It is the management body of the organization, supporting the IAF members, the IAF experts and volunteers.

JOB DESCRIPTION

Join our dynamic team in a globally recognized space advocacy organization and immerse yourself in an international atmosphere where innovation and collaborative spirit thrive. Under the direct supervision of IAF Projects Managers, the Projects Assistant shall be responsible for the support of the coordination and further development of IAF projects and activities related to the organization and implementation of high-level global events, including the International Astronautical Congresses (IAC) and IAF Global Conferences.

SPECIFIC DUTIES INCLUDE BUT ARE NOT LIMITED TO:

  • Support the coordination of photographers and filming teams during IAF events according to their schedule.
  • Maintain and regularly update IAF Dropbox and Flickr platforms.
  • Assist in the collection of quotes from Speakers.
  • Support the coordination and schedule of interviews, both onsite and virtual, with speakers.
  • Support volunteers’ coordination and ensure their compliance with briefings and operational guidelines.
  • Support with the preparation of meeting rooms (flags/nameplates distribution).
  • Maintain and update speakers databases, including photographs, biographies, and organizations' logos.
  • Collect and archive media coverage related to IAF events.
  • Assist with logistical coordination of the IAF International Astronauts Chapter.
  • Any other duties as assigned.

PROFILE

  • Excellent IT proficiency (MS Office: Word, Excel, PowerPoint, Access, Outlook) as well as Canva, Monday.com (Monday Board)
  • Language: English (excellent oral and written skills)
  • Open to work in an international environment
  • Enthusiasm and interest for space activities
  • Well organised and multi-tasking with excellent planning skills
